To-do List

A shared follow-up list per property. Add tasks yourself, or let the AI note them down and tick them off in chat.

Every property has a to-do list for the follow-ups that come out of your analysis: a redirect to fix, a metric to re-check after a release, a test to run. The list is shared by the whole team, and the AI can add to it and tick things off while you chat.

Opening the List

Navigate to any property and click To-do in the sidebar. Open tasks are at the top in your own order. Finished ones collapse into a Completed section underneath.

  • Add a task - type in the box at the top and press Enter. New tasks go to the top of the list. Click the calendar icon first to give the task a due date.
  • Complete - click the circle next to a task. Click the tick in Completed to reopen it.
  • Important - click the star to flag a task.
  • Reorder - drag a task by its handle (on desktop the handle appears when you hover over a task).
  • Details - click a task to edit its title, add a due date and notes, or delete it. Overdue dates show in red.

How the AI Uses the List

The AI checks the open tasks at the start of an analysis, before it first writes anything to a property (a task, an annotation or a memory) and when you ask what to work on, and mentions the ones that matter for your question. When you connect your own AI, each property it can see is flagged with its overdue tasks and tasks due in the next 7 days, so it brings them up without being asked.

It also adds follow-ups on its own when a conversation turns something up, because a follow-up written down is better than one forgotten. You can ask for it directly too:

  • “Add a to-do to re-check organic traffic on 1 November.” - adds a task with a due date
  • “I fixed the canonical tags, tick that off.” - completes the matching task
  • “What’s still open on the to-do list?” - lists the open tasks

Whenever the AI adds, completes or reopens a task, it says so in its reply, and an Added to to-do list chip appears in the conversation header. Click the chip to open the list. Tasks the AI added are marked Added by AI. In a task’s details you can jump back to the chat it came from (if that chat is yours or shared with you).

The AI only completes a task when you say it’s done or the data in the conversation clearly shows it, and it never deletes a task unless you ask.

Permissions

Everyone with access to the property can see the list. Adding, editing, completing and deleting tasks needs Write permission on the property, for you and for the AI acting on your behalf. In Incognito conversations the AI can read the list but not change it.

If you connect your own AI with your personal connector, it can use the list too, with the same permission rules.

Completed tasks don’t count. When the list is full, complete or delete a few tasks (or upgrade) to add more; the AI will tell you what it wanted to add.

To-do List vs. AI Memory

  • AI Memory stores facts: things that are true about your business and stay true.
  • The to-do list stores actions: things someone needs to do, which get ticked off when they’re done.
